Booking the office Christmas party should feel exciting and not like a second job. Every year we see the same festive office Christmas party booking mistakes: panic booking in November, choosing the wrong vibe for your team, or blowing the budget on the venue and forgetting the drinks. The good news is that these mistakes are totally avoidable!


This quick guide covers the top five mistakes companies make when planning their Christmas party and how to avoid them as much as possible. If you want a party your team will actually want to attend and talk about the next day, read on!

⏰ Leaving it too late

There are several scenarios on how you might have left it too late:

  • You’ve been swamped down with high priority work and the office Christmas party was low on your list, then suddenly you’re hearing Mariah Carey and Michael Buble on the radio.
  • It’s still warm and sunny! You’ve assumed there’s loads of time left to book it.
  • Who’s planning the office Christmas party? No one is quite sure who is handling it or thought someone else was handling it.


It’s all happened to us before, so don’t fret! If you’ve left it too late, you can still find a party, but you will have to settle on certain things like getting leftover dates or booking a venue that’s not entirely what everyone has envisioned.


You can avoid this by starting your planning early. Don’t procrastinate, start now! Josh, our Christmas Sales Manager says “normally venues will release their theme and dates by September, so you should be looking at Christmas parties in September. Good venues book out early, especially if you want it on a Thursday or Friday night in December, so get a date and get it locked in as soon as possible.”

💬 Not asking all the questions

Our expert party planners want you to ask questions. Whether you’re booking through an agency like Office Christmas or going directly to a venue, you should ask all the questions. When you don’t ask and assume things are included, you’ll get hit with surprise costs later. This happens when you don’t know what to ask or you’re rushing to book it that you forget the little details. These are questions that our party planners have come up with for you to ask:

  • What is included with the cost?
  • What is the cost of drinks packages or wristbands and what does this include?
  • When is the start and end of the party?
  • Can we brand or decorate the tables?
  • Is there a cloakroom? Is it free?
  • What are the transport links like?
  • Are taxis easy to arrange at the end of the night?
  • Is the venue accessible for guests with mobility issues?
  • Are there any hidden or additional fees?
  • When are deposits and balances due? How do I pay this?
  • Are there any upgrades – welcome drinks, late-night snacks, all-inclusive drinks?
  • Can we bring presents to the venue to open?
  • What is the dress code?
  • What entertainment is included and is this an additional fee?
  • How many guests can sit per table and will the tables be next to each other?

There are so many questions to ask the venue or your party planner, but do ask as many questions as you can! You don’t want to be surprised by anything on the night.

🎅 Choosing the wrong type of venue without considering staff preferences

Mistakes companies have made is choosing the wrong type of venue, like booking a high-end cocktail bar when the team just wants a big dance floor and bowl food or booking a few tables at a chain restaurant when the team wants to dress up in black tie and glittery dresses.

The office Christmas party planner often, but not always, choose what they like or choose something flashy to impress without considering the wider team. This could result in low attendance on the night or the night will fall flat.

Get to know your team; what are their personalities like? Are most members of the team quiet and like something intimate and casual, or are they really outgoing and want something loud and spectacular? A venue that fits your team’s energy will always win over one that simply looks the part. Ask around or send a quick poll. Our Sales Executive, Georgia suggests “If you have a company or team Whatsapp, Slack or communication app, there is normally a poll function that is really useful. Give them several options or even a link to some parties and see what the majority votes for.” 

📍 Limiting your venue search area

Some planners think “our company is based in Central London so I should only look at venues close by or only within Central London.” Although a convenient thought, you’ll miss out on some hidden gems slightly further than your search area!

Widen your radius. Some of the best venues are only slightly outside of your search zone and often offer more for your money. Consider transport links; some venues have free parking, close to train stations or tube stations. Your team might be willing to travel slightly if it meant going to a fantastic venue with great transportation links (or even parking!) and amazing entertainment.

💰 Blowing the Budget Without Factoring in the Full Picture

In line with companies not asking questions about their booking, in the past we have had companies come to us asking if we could find them a cheaper Christmas party because they had not factored in the transportation/accommodation/drinks. It happens to the best of us: we get dazzled by a dreamy venue and forget about the extras.

To avoid blowing your budget, make sure you have confirmed what the budget is strictly for. Is the company paying for the meal and venue only, contributing some money towards the party or is everyone using their own funds? Then you’ve got to ask yourself, what are the costs of transportation and who is paying for that? How about the costs for accommodation if people from out of town (or out of the country) are attending; is that part of the budget as well?

Confirm exactly what the budget is before booking and what the ticket includes. If you need to come up with a budget to get approved, include ticket, drinks, extras, travel and possibly accommodation. Justin, our Managing Director has been in the event business for two decades; he advises: “Create a budget that includes everything and more. It's better to budget for everything than tell your colleagues that you'll need more from them. If you're given a budget, let your colleagues know exactly what is included so they're not surprised on the night too.”
